Job Description

The USC Office of Admission is seeking an Event Coordinator to join our team. A cornerstone of college admissions is the guest visit and event experience. This position is responsible for the planning and coordination of all recruitment and conversion events for prospective students, admitted students, counselors, and other special events – including on-campus, off-campus, and online events. This role reports to the Events Manager, who plans and directs recruitment and special events on behalf of the Office of Admission.

The Admissions Event Coordinator works collaboratively with the Admission recruitment staff, key presenters, and the Event Manager to facilitate communications, hotel and other venue arrangements, and information exchange. In addition, this position composes and produces a variety of business correspondence, reports, and confidential documents that support general event administration. We are seeking candidates with excellent communication skills, public presentation experience, and the ability to provide guidance and direction to university guests at special events.

Responsibilities include but are not limited to the following:

  • Provide support to the Event Manager with planning and finalizing event materials and communications, and coordinating with admission staff and vendors to ensure all logistical arrangements are completed.
  • Coordinate vendor services, schedule facility arrangements, including transportation, catering, security, guest accommodations, etc. to ensure contract terms are satisfied
  • Participate in publicizing events through the coordination of marketing and communications.
  • Maintain records on event activity progress, status, and expenditures
  • Develop and maintain an extensive network of contacts, both internal and external, to facilitate event coordination.
  • Maintain awareness of shifting organizational priorities and adapt event schedules and timelines accordingly.
  • Attend on-campus and travel to off-campus events to monitor activities and ensure details are handled as planned.
  • Oversee student workers

Minimum Education:

  • High School degree
  • Bachelor’s Degree preferred

Minimum field of expertise:

  • Ability to support event planning (e.g. developing concepts, creating and estimating budgets, producing promotional materials)
  • Excellent organizational skills and ability to maintain multiple schedules
  • Excellent interpersonal and written and oral communications skills

Please submit both a cover letter and resume as part of your application.

In addition, the successful candidate must also demonstrate, through ideas, words and actions, a strong commitment to USC’s Unifying Values of integrity, excellence, diversity, equity and inclusion, well-being, open communication and accountability.

The hourly rate for this position is $33.00. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
